Keeping track of repeat guest preferences

Most all of my guests are repeat business people. I need to keep track of some preferences, most importantly if they drive a car since I need to know how to distribute the parking spaces at my Airbnb. Is there a program or set up anybody uses that might for example, automate this knowledge so that when they book I can find this information? For a while, there was a thing called “notes” within Airbnb, but apparently those notes were simply for the actual accommodation and not for the Booker.

I’m a pen and paper gal myself. I have a notebook where I write each guest’s name, their booking dates, phone number, etc., as soon as their booking is confirmed. I will often add notes regarding who they are- their profession, interesting things about them, anything that will help me remember them if they book again, after they have stayed.

Unless you’re stuck on having a digital record, you could just go to the dollar store, get an old school address book that’s divided into alphabetized sections, put each guest in the appropriate section so they are easy to find, and do something similar.

I too am old school, but what I’m looking for is not a place to record this information but away for this information to be either served up to me when a booking is created or part of the scheduling, like some sort of reminder that dings on my phone about this.

The issue for me is when it comes to the day in question I have three rooms to understand what’s going on

I use the calendar in Outlook and log in the guests arrival and departure dates. I color code it by property and label it by airbnb or hipcamp or vrbo. The calendar goes back five years so I can pull up repeat guest info. In the notes, I record meals, tours, preferences, etc.

When I get an Air reservation (albeit rarely!) I enter it into my iPhone calendar, & add any pertinent info in that app. Seems as though Air is doing sooo many “upgrades” to make our jobs more difficult lately!

What do you enter into your iPhone calendar? At this time, Airbnb does not allow their actual phone numbers to be transmitted. How do you identify?

In my situation, I’ve had literally thousands of guests over 14 years. There have been many Harry’s there have been many Mary’s.

My PMS has custom questions like
“If you have a car, what is the make model plate”
So I can ask anything I want on direct bookings. (Highly recommend if you have a lot of repeat business)

And I have automatic message that goes out on Airbnb asking the same things after a confirmed booking is made.

Those answers appear in the booking notes\chat in PMS. But we don’t have notes that carry over to the next booking. Good idea though.

Would you be willing to help a relative newbie out? What is PMS? How do you set up such automated messages?
